Job Description

Role purpose :

The Estates & Transactions Management (E&TM) Supplier Manager is responsible for managing the real estate portfolio, covering transactional activity and estates management, combined with with responsibility for all EM & T outsourced suppliers deployed to deliver these services.

The role holder’s key tasks will include the following:
Implementation of Group policies, Standard Operating Procedures (SOPs), best practice and standard reporting to the business in relation to Estates Management & Transactions (EM&T) and/or Regional Transaction Partner (‘RTP’) contract scope of services.
Plan, direct and control delivery and operation of Estates Management (EM&T) within a country (in partnership with Supplier providers, as appropriate).
Plan and manage EM&T and/or ‘RTP’ activity in alignment with Group CS strategy, as advised by Regional PWE Lead/Office & Network Planners
Management of portfolio data and Secondary Data, its accuracy and completeness, ensuring all changes and updates are submitted in a timely manner in accordance with SOPs
Management of all lease-related payments (rents, service charge, etc.), ensuring all are validated before payment (e.g. by Accounts Payable) in accordance with SOPs.
Day-to-day property management of the portfolio, acting as principal interface with Landlords and sub-tenants, in accordance with EM SOPs. This includes all relevant Permits and Landlord Consents.
Oversee the delivery of all BAU & ‘RTP’ transactions, ensuring these are delivered in accordance with SOPs. Ensure all transactions are properly recorded on the Transactions Tracker. Ensure all Due diligence (Sanctions and ABC completed)
Manage and/or support any Insurance Reinstatement Cost Assessments and annual Asset Valuations, instructing and liaising with the supplier(s) as necessary.
Integrate EM & T/’RTP’ planning, processes and delivery with:
Other CS functions (Facilities Management, Capital Projects, Governance & Standards, etc)
Other supporting functions within HSBC (i.e. Finance, Legal, Procurement, etc.)
External suppliers
Appropriately balance risk considerations with cost considerations in the management and delivery of EM &T.
Provide feedback to Global Strategy & Operations Management (GSOM) team on Portfolio Data Management performance and suggested enhancements to technology and reporting platforms (e.g. Insight/Horizon/Tableau/Transaction Tracker, etc.).
Impact on the Business/Function
Ensure delivery and operation of EM and RTP meets business requirements & service levels are achieved.
Responsible for delivery of the following Estates Management and Transaction functions in accordance with Group standards and processes.

Requirements

Knowledge/Qualifications
Relevant professional qualification in real estate, ideally in a Property or Estates Management discipline.
A comprehensive understanding of a broad range of Strategy, EM & T activities and issues faced by large corporates.
Sound understanding of how banks operate, key challenges faced in the operating environment.
Degree of expertise and knowledge in relation to Supplier or estates management within a real estate context
[Degree of expertise and knowledge in relation to analysis of Supplier businesses including finances and customer base]

Experience

Significant experience managing CS transactions and / or operational portfolios.
Demonstrated ability to successfully manage multiple real estate related projects with delivery of timely and quality results.
Demonstrated results in delivering successful risk management and control processes across multiple functions.
Good understanding of technology platforms available for Estates Management and experience of transformation and deployment.
Demonstrated results in managing Suppliers
Demonstrated experience in managing Supplier and stakeholder issues
Proven ability to prioritise competing demands, and handle ambiguity.
